How we handle personal information.

1. Who we are

Snow Canada Holdings Inc. (operating as snow.ca) is the data controller for personal information collected through snow.ca, our customer dashboards, dispatch systems, and bilingual call centres. Contact our Privacy Officer at privacy@snow.ca or 888-471-SNOW.

2. What we collect

  • Account & quote data — name, billing address, service address(es), phone, email, language preference (EN/FR)
  • Operational data — GPS coordinates of service visits, time-stamped photo proof, equipment IDs, dispatch notes
  • Payment data — handled by PCI-DSS-compliant processors (Stripe, Moneris); we never store full card numbers
  • Communication logs — call recordings (with verbal consent), SMS, email threads for the duration of an active account
  • Site analytics — page views, referrer, anonymised IP, device class. We do not use ad-tech tracking pixels

3. Why we collect it

  • Deliver the snow removal, ice control, equipment, and supplies service you requested
  • Dispatch the correct crew to the correct property under the correct service-level agreement
  • Document each visit with photo proof for claims defence (slip-and-fall litigation)
  • Bill, invoice, and process refunds
  • Comply with municipal contract obligations and tender documentation
  • Send service-related notices (storm dispatch, route changes, invoices)
  • With your explicit opt-in, send marketing email under CASL

4. Legal basis (PIPEDA principles)

We collect, use, and disclose personal information only for purposes a reasonable person would consider appropriate. We rely on express consent for marketing communications and implied consent for service delivery. You may withdraw consent at any time by emailing privacy@snow.ca.

5. Who we share data with

- Local depot crews dispatched to your property — name, address, gate codes, service notes - Insurance carriers — only in the event of a claim, only the documentation relevant to that claim - Payment processors (Stripe, Moneris) — tokenised payment data - Hosting & infrastructure (Vercel, AWS Canada Central region) — data stored in Canada - Government / law enforcement — only when compelled by valid court order or warrant We do not sell personal information. We do not share data with advertisers or data brokers.

6. Data residency & retention

Customer records are stored in Canadian-region data centres (AWS ca-central-1, Vercel Canadian edge). Active account data is retained for the life of the account plus 7 years (Canada Revenue Agency requirement for business records). Photo proof is retained for 7 years (statute of limitations on slip-and-fall claims). Marketing-list data is deleted 30 days after unsubscribe.

7. Your rights under PIPEDA

- Access — request a copy of personal information we hold about you - Correction — request corrections to inaccurate data - Withdrawal of consent — for marketing communications, at any time - Deletion — for data not subject to legal retention requirements - Complaint — to our Privacy Officer first, then to the Office of the Privacy Commissioner of Canada (OPC) Requests are processed within 30 days and free of charge for reasonable volumes.

8. CASL (anti-spam) compliance

We send commercial electronic messages only with express or implied consent under CASL. Every marketing email includes an unsubscribe link processed within 10 business days. Service-related emails (invoices, dispatch confirmations, storm notices) are transactional and not subject to CASL opt-out.

9. Cookies & analytics

snow.ca uses functional cookies for session management and language preference. Analytics use first-party measurement with anonymised IPs. We do not deploy advertising pixels, cross-site trackers, or third-party retargeting.

10. Children

snow.ca services are sold to property owners and businesses. We do not knowingly collect personal information from anyone under 16.

11. Changes to this policy

Material changes will be notified to active customers by email at least 30 days before taking effect. The "Last updated" date at the top of this page reflects the most recent revision.
